Privacy Policy

Last updated: May 2026. This policy explains what personal data BEIMUN collects, why we collect it, and how it is used and protected.

1. Who we are

BEIMUN (Beirut Model United Nations) is a student-led conference initiative based in Beirut, Lebanon. We are not a registered commercial entity. References to "we", "us", or "BEIMUN" in this policy refer to the BEIMUN organising team.

For privacy-related questions, contact us at beimunleb@gmail.com.

2. What data we collect

When you submit the delegate registration form, we collect:

  • Full name
  • Email address
  • Phone number
  • Age and grade/year of study
  • School or university name
  • Student type (high school or university)
  • Committee preferences (up to three)
  • MUN experience level
  • Prior court/crisis committee experience
  • Degree programme and institution (university delegates)
  • Fee confirmation
  • Any additional comments you choose to provide

If you log into the delegate portal, we also store an authentication record (email address and encrypted password or magic-link token) via our authentication provider, Supabase.

3. Why we collect it

We collect this data solely for the purpose of organising BEIMUN and managing your participation. Specifically:

  • To process and review your delegate application
  • To assign you to a committee and country
  • To communicate with you about the conference (schedule, documents, logistics)
  • To give you access to the delegate portal
  • To maintain an internal record of attendees for conference operations

We do not use your data for marketing, advertising, or any purpose unrelated to the conference. We do not sell or share your data with third parties for their own use.

4. Where data is stored

Delegate data is stored in a PostgreSQL database hosted by Supabase (Supabase Inc., USA), which provides row-level security, encrypted connections (TLS), and access controls that restrict data to authorised team members only.

A copy of each registration is also mirrored to a private Google Sheet accessible only to the BEIMUN secretariat, for internal tracking purposes.

All data is processed and stored in accordance with the data protection terms of these providers. Links to their privacy policies:

5. How long we keep your data

We retain your personal data for the duration of the conference cycle (up to and including BEIMUN '26) and for a reasonable period afterwards for administrative purposes, not exceeding 12 months after the conference date.

After that period, personal data will be deleted or anonymised unless we are required by law to retain it longer.

6. Your rights

You have the right to:

  • Request a copy of the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to operational necessity)
  • Withdraw consent at any time by contacting us

To exercise any of these rights, email us at beimunleb@gmail.com and we will respond within 14 days.

7. Cookies

This website uses a single session cookie set by Supabase to keep you logged into the delegate portal. No third-party tracking cookies, advertising cookies, or analytics scripts are used.

8. Children's data

BEIMUN is open to middle school, high school, and university delegates. Where a delegate is under 18, we encourage a parent or guardian to review this policy. If you believe a minor's data has been submitted without appropriate consent, please contact us immediately.

9. Changes to this policy

We may update this policy as the conference develops. Material changes will be communicated via email to registered delegates. The "last updated" date at the top of this page will always reflect the current version.

This policy was drafted in good faith by the BEIMUN organising team. It is not a substitute for legal advice. If you have concerns about data compliance, please contact us directly.
